PAIA manual

1. Introduction

This manual is published in terms of section 51 of the Promotion of Access to Information Act, 2000 (PAIA). It explains the records held by Powerkote Cape (Pty) Ltd and how you can request access to them. It also sets out, briefly, how we handle personal information under the Protection of Personal Information Act (POPIA). Our full privacy policy has the detail.

4. Records available without a request

The following information is freely available without a formal PAIA request: the content of our website (the services we offer, our contact details, and our case studies).

5. Records we hold

We keep a limited set of records, grouped by subject:

  • Customer enquiry records: the name, email, phone number, and message you send us through our contact form (and which page you contacted us from).
  • Supplier and service-provider records: records relating to the providers that help us run the site and our business.
  • Standard company records: financial, tax and employment records that we keep to comply with other laws (for example the Companies Act, the Tax Administration Act, and the Basic Conditions of Employment and Labour Relations Acts).

6. How to request access

Send your request to our Information Officer at dennis@powerkotecape.co.za, using the prescribed PAIA request form (Form 02). Please include enough detail to identify the record you want, the form of access you prefer, and your contact details. The applicable request and access fees are those set out in the PAIA Regulations.

We will respond within 30 days (which may be extended where PAIA allows). Access may be refused only on the grounds set out in PAIA, for example to protect another person’s privacy, third-party commercial information, or legally privileged records. If we refuse a request, we will give reasons and explain your remedies: you may lodge an internal query with us, complain to the Information Regulator, or apply to court.

7. How we handle personal information (POPIA)

We collect personal information only to respond to enquiries you send us (name, email, phone and your message). We do not share it with third parties for their own purposes. It is processed only by our operators on our instruction (Cloudflare for hosting and anti-spam, and Resend to deliver your enquiry to us by email). We keep enquiry information for up to 12 months after closing your enquiry, then delete it. You have the right to access, correct, delete, and object, and to complain to the Information Regulator.
